Creating a thorough and scaled room diagram is one component of the event planning process that will contribute to an event’s success and ease. Large-scale corporate events oftentimes have many components from an intricate stage design and entertainers to large seating arrangements and food stations. Ensuring that all of these aspects will fit into one space is vital, and will avoid complications on the day of the event. Even more, with the advent of programs such as Social Tables, creating accurate and detailed diagrams has never been easier!

The ultimate goal of creating room layouts is to make sure everything will fit. Mentally imagining the layout of the room during a site visit will not suffice, as you will find there are many components to take into account. For instance, in most cases, audio and visual equipment take up a significant portion of space especially for a large production. Creating room layouts will also avoid any unforeseen problems on the day of the event. For example, if not properly considered, furniture could end up blocking projections onto a screen or guests at particular tables won’t be able to see the stage or screen. Put yourself in the shoes of every vendor and guest when creating your layout. Be sure all of their needs will be met logistically.

Setting up a room layout also aids in much of the behind the scenes work that goes into a large production including the huge amount of cable lines and power sources needed. With a room layout you can depict where your power sources are and where your cables will have to stretch to reach the equipment in a safe manner. In addition, it will allow you to plan out your cable paths effectively, without having to hide cables at the last minute.

Scaled room diagrams also assist in creating seating arrangements that will maximize your space and achieve your event’s goals. There are many different seating styles ranging from banquet, theatre, and classroom style to even something less traditional. Every seating style takes up a different amount of space and depending on your guest count, can even limit your options in a space. For this reason, creating a room diagram will allow you to visualize your options to fit your tables and chairs comfortably.

The importance of designing an effective room layout extends far beyond the room itself. It allows everyone in the planning process to be on the same page from the event planners to the vendors and venue. It will also save you time as an event planner by avoiding unforeseen problems, and henceforth can even save you money. Here at Eventrics, we firmly believe that each event must be tailored to the brand and values it represents. Each hosting company has particular goals for the event in mind, and to execute an event effectively, it is important to define these goals prior to starting the planning process. This is an important step for the event planner as well. When creating and implementing goals for an event, there are many aspects to consider.

First and foremost, the event’s message should be evaluated. Are there certain values or a takeaway message you want your attendees to leave the event with? Is there certain content or research you would like guests to become aware of? These answers should be emphasized throughout your event in order to ensure that the event’s ultimate goal is met.

For instance, at Florida Polytechnic University’s PIVOT Gala, guests were able to explore the research labs of the University during the cocktail reception. By allowing guests to see the labs, they were able to see the benefit and impact of their donations to the Foundation and student scholarships. Involving your guests in the fundraising cause, in this case, furthers the mission of the foundation and educates guests on exactly how they are helping.

Another aspect to consider when creating goals for an event is an event’s target audience. You can tailor your event towards the target audience’s demographic ranging from music and entertainment to key note speakers and activities. By customizing these aspects towards your guests, you are creating an event that they can relate to and in turn remember in the future. If you’re unsure of how to do this exactly, take a look at our blog on tailoring an event to your audience for more advice! Ultimately, your goals should outline your type of audience and ways you can tailor the event towards it.

As we mentioned before, it is imperative your guests find value in the different aspects of your event in order to maximize its impact. Creating goals ahead of time will allow you to revisit them throughout the event planning process, evaluating if they need to be strengthened or adapted in certain areas. Time wary goals will also serve as a marker of progress. For full event management services, contact Eventrics today to set up a free consultation and create the event you dream of!

This past Thursday, our Eventrics team had the honor of assisting coordinate Florida Polytechnic University’s Presidential Inauguration as well as the PIVOT Gala in the evening. Both events were held at the impressive engineering and technology campus, celebrating the university’s achievements and the establishment of the university’s first president.

It was an auspicious event for the University beginning with the Inauguration ceremony of President, Dr. Randy K. Avent who was presented with the University’s Presidential medallion. The program included a performance by “The Satin Dolls” from the Harrison School for the Arts. The ceremony procession comprised all faculty members and representatives from the State University System of Florida and the Florida Board of Governors.

The second annual PIVOT Gala in the evening was an event to remember with nearly 500 guests present. This was the signature fundraising event for the Florida Polytechnic University Foundation, raising over 2 million dollars. The cocktail reception featured an exclusive oyster bar and allowed guests to mingle and view the University’s research labs and technology corridor. All décor was provided by Occasions by Shangri-la with entertainment and music provided by the MPiRE Band and violinist, Sarina Suno. The event featured electric “Lunar” dancers from T. Skorman Productions, a craft beer station provided by The Lakeland Brewing Company, and a cigar rolling station. One of our favorite aspects of the event was the “Poly purple” Binary code lighting projection on the ceiling thanks to CCR Productions. It truly pulled the space together and impressed guests!

Our team was honored to assist coordinating the Inauguration and PIVOT gala to celebrate the wonderful accomplishments of the Florida Polytechnic University. Thank you to all of the departments and staff at the University for your part in the success of the first Presidential Inauguration. Congratulations Dr. Randy K. Avent!

As a company or event planner, one of your fundamental goals is ensuring that each attendee of your event finds value in the various aspects of the event. Finding unique ways to cater to different age groups and types of people can be a tricky task! We’ve outlined a few aspects of an event that can be tailored to target your audience directly, keeping your event relatable and interesting.

The initial marketing stages of your event are a great time to start targeting your audience. By marketing your event appropriately, you will raise awareness much quicker. Be sure social media is at the forefront of your campaign for a younger audience while items such as emails and letters are maximized for the older demographic.

If a presentation is involved during the event, be sure the content is pertinent to your audience. For instance, don’t offer introductory content to a highly experienced group of individuals such as a group of neurosurgeons. Allow them to leave your event learning something fresh such as research in a particular field that they couldn’t necessarily find on the Internet. In the same way, avoid presenting highly complex information on a topic with a less experienced group such as business students in undergrad. When speaking about the importance of social media in branding, a group of students doesn’t need to know the small details of each platform, as they are most likely very familiar with it already.

When choosing speakers for your event, you can also tailor the speaker to your specific audience. Choosing a speaker with common qualities or history to your audience will keep them engaged and give them a reason to appreciate the speaker’s message. For example, consider a young entrepreneur who recently found success as a speaker for a group of students studying entrepreneurship. The message a young entrepreneur can give these students will be far more empowering and relatable than an older speaker with a background in engineering. If you are holding a large-scale event with many different age groups and demographics, consider having multiple speakers, so guests can choose which speaker they’d like to watch.

If activities or more interactive events are involved, there are many aspects to consider. The younger millennial generation prefers fast paced activities that don’t require holding focused attention for too long and is also confident using technology and social media. Older generations enjoy participation, sharing experiences, and learning with hands-on instructions. Constructing activities around these tendencies will maximize the time and impact of the event. Doing so will also increase the interaction between peers, enhancing the event.

With the rapidly growing concern about protecting the environment nowadays, businesses are increasing public awareness about environmental issues. More than ever, companies are taking efforts to implement eco-conscious methods into the events they plan and the daily business they conduct. Below are some small ways to make a big difference in the environment while creating a positive profile for your company.

The easiest way to implement environmentally friendly methods is by cutting back on paper waste. This can be done by using various electronic methods. A company can send out invitations and thank you cards via email invites. By utilizing social media platforms for marketing the event rather than mailing paper goods, you can also save an immense amount of money. Create PowerPoint presentations and encourage speakers to use an electronic means of presentation to reduce the amount of printed material. When printing material is necessary, use the double-sided printing option. At one of our Eventrics’ events at the Florida Retina Symposium, flash drives were given to the attendees with the day’s presentations instead of having to take home paper packets. These small methods combined have a large effect and are fundamental in a green event.

During the event, you can choose to provide biodegradable tableware for food, beverages, and décor. Using recyclable and locally made materials can save fuel and actually be cost effective in the end. Though using recycled materials may not be feasible for every supply purchase, giving precedence to recycled materials is important. You should also encourage guests to use designated stations for recycling at the event. Be sure these stations are easy to access and clearly labeled for attendees. Eliminate food waste by utilizing a buffet style menu instead of individual plates. This way, all leftovers can be donated to a local shelter instead of thrown away.

Transportation is one aspect of an event that can also be eco-conscious. Encourage your guests to carpool and ride together. This will allow you to cut down on fuel emissions and reduce your carbon footprint. If public transport is easily accessible and close to your venue, you can give the attendees this information and encourage them to use this as an option. To avoid unnecessary transportation between locations, keep all aspects of the event in one venue if possible.

As a company and brand, it is just as important to promote your green methods as it is to actually implement them. Allow your colleagues and attendees to be aware of the green efforts your company is making. These methods can also be incorporated into the daily work life of your employees, making the initiative that much stronger. Spreading the word can only generate more positive actions from outsiders, furthering the green movement. As a brand, your image can also heighten by showcasing your initiative to aid the eco-friendly movement. There are clearly benefits for your company and the earth by going the extra mile and going green!
